# Prospects

The agency sales workspace: audits, pipeline, outreach, proposals, contracts and conversion to a client.

Prospects is the agency’s sales workspace: everything between "I found a business that might need SEO" and "they are a paying client". It is backed by one record per prospect that accumulates data as you work the deal.

## The nine panels

| Panel | What it is for |
| --- | --- |
| Overview | Landing view: pipeline by stage, quick actions, KPIs, recent reports and an activity feed. |
| Find | Search for businesses and pull them in as prospects. |
| Contacts | People attached to each prospect. |
| Reports | The audit report list, the add or edit wizard, and the report itself. |
| Pipeline | Kanban board of every deal by stage. |
| Outreach | Emails sent to prospects, using the agency email templates. |
| Proposals | Build, send and track proposals. |
| Contracts | Agreements attached to a won deal. |
| Settings | Defaults for proposals, pricing and terms. |

## The prospect record

One record holds both what you entered and what the platform generated for it.

- Entered: business name, website, industry, location and address, phone, email, SEO goals, competitors, target keywords.
- Pulled from Google: place ID, categories, rating, review count, coordinates.
- Generated: site audit data, domain metrics, local grid data and grid competitors, AI summary, the report HTML, and the AI visibility prompts with their results.
- Workflow: status, report scope (local or national), pipeline stage, and a public token for sharing the report.

### Report lifecycle

| Status | Shown as | Meaning |
| --- | --- | --- |
| draft | Draft | Created, nothing generated yet. |
| generating | Analyzing | The audit is running. |
| complete | Ready | The report can be viewed and shared. |
| error | Error | Generation failed. Rerun it. |

Rerunning a report clears every generated field (audit, domain metrics, AI summary, report HTML, grid data, grid competitors, visibility prompts and results), sets the status back to generating, and starts a fresh analysis. Refresh Metrics updates the domain numbers on their own without rebuilding the whole report.

## Pipeline

Five stages, moved by dragging a card between columns: New Lead, Contacted, Proposal Sent, Won, Lost. The first three count as active deals. The board carries a search box plus industry, status and date filters, and four KPIs above it: total pipeline value, active deals, win rate and conversion.

## Working a deal end to end

1. **Find or add the business**: Use Find to search, or the wizard in Reports to enter a business directly. Google data fills in categories, rating, reviews and coordinates where available.
2. **Run the report**: The audit, domain metrics, local grid and AI summary are generated into one shareable report. Choose local or national scope before running it.
3. **Reach out**: Send an outreach email from Outreach using an agency email template, with the report link as the hook.
4. **Send a proposal**: Build it from a proposal template. Scope defaults, pricing and terms come from Prospect Settings.
5. **Move the card**: Update the stage on the Pipeline board as the conversation progresses.
6. **Contract, then convert**: Attach the agreement in Contracts, then convert the prospect into a client.

## Converting to a client

Convert to Client is the handoff into delivery, and it does several things at once.

1. Creates a client record from the prospect: business name, website (protocol stripped), phone, SEO goals as the description, address, city, coordinates and a generated Google Maps URL.
2. Links that client to the agency.
3. Opens the full onboarding wizard pre-filled from the prospect data, so setup starts with what you already gathered.
4. Raises an internal review notification for the Aisoiq team, carrying the prospect name, website and agency.

> **Conversion is a real client**: Converting creates a billable client and starts onboarding, so it is the step that closes the sales workflow.

## How records behave

- Rerunning a report regenerates it from scratch: the audit, domain metrics, local grid and AI summary are all rebuilt from current data.
- The website on the prospect record drives the whole audit, so the report always reflects the domain entered at creation.
- Report scope decides the analysis: local scope includes the map grid, national scope focuses on organic visibility.
- Deleting a prospect removes the record and its report together.
