# Templates

Reusable email, proposal and report templates shared across the agency.

Templates is the agency’s library of reusable sales and delivery material. One builder holds three kinds: Emails, Proposals and Reports. Everything belongs to the active agency and feeds the rest of the sales workflow, so a template edited here changes what Prospects sends tomorrow.

Each type ships with defaults you can use immediately. Defaults are read-only starting points: duplicate one to get an editable copy of your own.

## Emails

Four email types, each tied to a moment in the pipeline.

| Type | Default template | Used when |
| --- | --- | --- |
| Outreach | Initial Outreach | First contact with a prospect. |
| Follow-up | Gentle Follow-up | Chasing a prospect who has not replied. |
| Proposal | Proposal Delivery | Sending a proposal link. |
| Report | Report Delivery | Sending a finished report link. |

### Variables

Placeholders are filled in at send time from the prospect and sender records. Outside the preview they stay as written until an actual send resolves them.

| Variable | Becomes |
| --- | --- |
| {{business_name}} | The prospect’s business name. |
| {{contact_name}} | The contact you are writing to. |
| {{sender_name}} | The person sending it. |
| {{proposal_link}} | The shareable proposal URL. |
| {{report_link}} | The shareable report URL. |

### Design controls

The email is rendered as HTML with a live preview beside the editor, switchable between desktop and mobile. You control primary and accent colour, font family (system, serif or mono), body text size, corner radius, the accent bar, a logo and hero image, whether a call-to-action button shows and its label, link and filled or outline style, which contact details appear in the footer, and whether the footer disclaimer is included.

## Proposals

A proposal template is a name plus an ordered list of sections, and a design. Sections can be reordered by dragging.

| Default template | Sections |
| --- | --- |
| Full SEO Package | Cover, Executive Summary, Scope of Services, Investment, Timeline, Agreement |
| Local SEO Focus | Cover, Executive Summary, Local SEO Scope, Investment, Agreement |

Design options: logo upload, primary and accent colour, font family, the cover page title, whether the contact bar shows, and the currency used on the investment section.

## Reports

Same shape as proposals: a name, a description, an ordered section list and a design (primary and accent colour, font, and whether agency branding shows).

| Default template | Sections |
| --- | --- |
| Monthly Performance | SEO Score, Keywords, Backlinks, Local Grid, Recommendations |
| Prospect Audit | SEO Score, Top Issues, Competitor Snapshot, Recommendations |

## Working in the builder

1. **Pick a type**: Emails, Proposals or Reports from the left icon rail.
2. **Start from a default**: Duplicate the closest default rather than building from nothing. The copy is yours to edit and belongs to the agency.
3. **Edit and preview**: The preview updates as you type, and variables are shown resolved with sample values so you can read it as a recipient would.
4. **Save**: Saved templates become available to everyone in the agency and appear as choices in Prospects.

## How templates behave

- Templates are agency-wide, so an edit updates what every member sends next.
- Defaults are read-only starting points. Duplicate one to edit your own copy.
- Deleting a template removes it for the agency.
- Variables resolve at send time from the prospect and sender records.
